GENERAL TIMELINE FOR THE INBOUND STUDENT – what happens and when
This is a summary timeline for the Club and District regarding the process of an Inbound Student. It should provide you with an idea of what happens and when with regards to an Inbound Student.

The IB Student is a student that is already in the United States.

The IB Candidate is the student who will be attending during the upcoming school year.
JANUARY – FEBRUARY
-  (IB Candidate) District Committee reviews each club’s anticipated participation and their past history of previous Inbounds (gender, countries, and numbers). Making a tentative list of assignments.
- Club should complete the Intent to Participate Form and submit it to the District Outbound Coordinator.
- OB Candidates and select inbound students attend the January Outbound Orientation.
- OB Candidates and Inbound students attend the Easter Oregon Discovery Training.
FEBRUARY -MAY (unfortunately sometimes into JUNE)
- (IB Candidate) Applications arrive from foreign countries.
MARCH
- (IB Student) Student moves to the third host family.
MARCH-MAY
- (IB Candidate) Initial packets are sent to clubs for signatures. Upon completion and review of forms, the clubs return the completed guarantee forms and inbound student hosting fee.
- (IB Candidate) Country Youth Exchange Officer sends the acceptance letter and completed guarantee forms to the sponsoring District. In addition, a packet is sent to the student, with host family information and some additional forms that the student is instructed to return to the Youth Exchange Officer (immunization forms, signed rules, English proficiency, etc.)
MAY-AUGUST
- (IB Candidate) Students are sending requested forms and documentation of their travel and arrival times. Clubs and students are corresponding and “getting acquainted”.
JUNE – JULY
- (IB Student) – Leaves to return home after a successful year in District 5100
AUGUST
- (IB Candidate) Most students arrive at least ten (10) days prior to the start of the School Year. Club Youth Exchange Committee Chairpersons need to make sure the Host Family Interview Form and the two letters of recommendation for each host family are complete and turned in to the District Inbound Coordinator by the August orientation.
- (IB Student) – Move in with the first host family – sometimes arrangements are made for a temporary host family to take the student if the first host family is away or cannot pick the student up at the airport.
NOVEMBER – DECEMBER
- (IB Student) Student moves to second host family
